Deployment Coordinator

The Deployment Coordinator will provide administrative support to the Recruiting Manager as well as the project teams.  The incumbent will provide a high level of customer service and maintain quality throughout the deployment process. The Deployment Coordinator will interact with candidates, employees, corporate HR, managers, field offices, and DOS on a daily basis.

The Deployment Coordinator will be expected to maintain multiple administrative support functions while ensuring a positive deployment experience.  Additionally, the selected candidate will coordinate new hire orientation, attend staff meetings, and meet with the customer on a regular basis. The duties and responsibilities listed below are representative of the nature and level of work assigned and are not necessarily all inclusive.

Duties and Responsibilities

As part of the team supporting HR needs and mobilizations for the Moscow/Beijing program, the Deployment Coordinator will be responsible for:

  • Issuing and maintaining documents for approximately 120 employees deploying to Europe and Asia.
  • Compiling pre-deployment packages, drafting employee agreements, addendums and expense reports.
  • Manages all contract travel arrangements (including airline tickets, travel insurance, diplomatic passports, and visas)
  • Corresponding with candidates and newly hired employees via email and phone to ensure proper submission of documents and follow through with on-boarding procedures
  • Coordinating all pre-employment training and continuing education
  • Maintaining the applicant tracking system (ATS) database for all hires, terminations, resignations
  • Coordinating new hire orientation and employee onboarding. Process all new-hire paperwork for candidates
  • Maintaining in-process report for deploying candidates and send weekly to DOS customer
  • Assisting with reconciling all employee expenses charged to company card
  • Other duties as assigned

Knowledge, Skills and Abilities

  • At least 2 years prior experience supporting Staffing, HR or office support functions
  • Prior experience in logistics, travel preparations or related purchasing/tracking using excel is preferred
  • Should be able to work in a high volume, fast paced environment, with changing priorities
  • A great team attitude is required and ability to work well with others
  • Proficiency in Microsoft Outlook, MS Excel, and MS Word required Some knowledge of PowerPoint is helpful
  • Have excellent written and verbal communication skills as well as good phone etiquette
  • Ability to work independently and handle multiple tasks and deadlines
  • Ability to efficiently manage multiple candidates at one time

Education:  Bachelor’s Degree is highly preferred or relevant experience in lieu of education

Language Required: Must be able to read, write, speak and comprehend English to the twelfth-grade level.

Clearance Required:  Must have an active Secret Security clearance or the ability to obtain one.
