Document Management Technician

Provides direct legal support assistance services to serviced Assistant US Attorney staff.  

Typical assignments include:

  • Reviews and processes incoming material and, based on established office policy and procedure, determines the need for assembly and preparation of legal documents, e.g., complaints, motions, orders, answers, pleadings, subpoenas, and libels.  Obtains required information from files or general reference sources, and submits completed legal documents to the appropriate AUSA.  Completes variable aspects of recurring legal documents in conformance with the rules governing their style and format.
  • Develops tables of contents and indices to briefs in accordance with established format.  Accurately cites to authoritative cases, opinions and miscellaneous references in briefs.
  • Modifies previously established pleadings, motions, and letters to meet immediate needs that require knowledge of legal procedures and specialized terminology, e.g., transmittal of pleadings, requests for extensions of time in certain cases, advising of actions taken or developments in cases referred by other federal departments and agencies, and notices to attorneys representing defendants.
  • Based on specific requests and instructions, uses general reference sources and legal research tools to gather information to assist attorneys in performing legal research duties.
  • Schedules appointments, meetings, engagements, and conferences.
  • Receives and reviews incoming correspondence and forwards each item to the appropriate AUSA or to other staff based on a knowledge of the duties and functions of the United States Attorney's Office (USAO) - Receives telephone calls and visitors, screening those which can be handled without help.  Personally takes care of many matters and questions relating to office functions, procedures and practices.
  • Maintains legal and general office files.    
  • Reviews, screens and controls incoming mail.  Independently deals with those matters addressed to the unit that do not require the attention of legal staff by referring such to appropriate other staff members, or personally performing the work needed to resolve the matter.
  • Reviews outgoing correspondence for procedural and grammatical accuracy, format, and presentation.  Brings errors to the attention of the writer.
  • Searches files for material used in recurring reports.  Assembles file data or secures data from staff members into the proper format based on the purpose and nature of the report.
  • Makes travel arrangements.  Secures accommodations and maintains contact while the Government traveler is in travel status.
  • Produces written documents utilizing a range of office automation software.  Retrieves required information from various files and records and prepares legal documents with complicated formatting. Ensures proper spelling, punctuation, capitalization, and grammar. Consults with document author to resolve questionable material.
  • Using office software, provides automated litigation assistance to attorneys by preparing charts and other specialized materials relating to trial preparation and presentations.  

Minimum Qualifications:

  • Must be able to obtain and maintain a US government security clearance.
  • Some legal related experience preferred.
  • Must have typing/keyboarding skills and good communication skills.  
  • Undergraduate degree preferred.
  • Ability to perform detailed work consistently, accurately, and under pressure extremely important.  
  • Must be able to read and follow instructions.  
  • Must be able to understand task, task objectives, and the context of the task in the litigation support effort as a whole.
  • Must take the initiative to ask questions when necessary to complete task correctly (e.g. where instructions are not explicit or appear to be contrary to the task objective).
  • Must be knowledgeable user of the Government's office and network environment, including but not limited to, word processing, database, spreadsheet, imaging, and telecommunications systems.    
  • Litigation support experience valued.
