Load Planner

GENERAL DUTIES (not all inclusive):

  • Performs and manages air transportation activities.
  • Plans, schedules and processes eligible air cargo, passengers, and mail.  
  • Prepares and maintains air movement records and reports.  
  • Coordinates with 109th AW Operations Duty Officer, the Fixed Wing Coordinator, Aviation Operations Coordinator, Passenger Services Representative, and Airfield Supervisor for Cargo/Passengers being transported.
  • Interfaces with USAF Joint Inspectors, Air Transportation Specialist-2’s and Christchurch, NZ NZDF load teams for the coordination of Load Planning, Aircraft Loading/Unloading and Documentation.
  • Verifies eligibility of cargo and mail offered for airlift.
  • Ensures all cargo documentation, packaging, labeling and marking requirements, and all border clearance requirements have been met.
  • Provides information on schedules, routes, air movement requirements, baggage limitations, and local facilities for passengers.
  • Follows necessary safety and security precautions for handling and storing dangerous materials, special cargoes, mail, and baggage.  
  • Becomes familiar with proper loading and compatibility of hazardous material according to military regulations.
  • Expedites cargo movement as necessary.
  • Is responsible for properly calculating the weight and balance of cargo and passenger flights utilizing Integrated Computerized Deployment System software (ICODES). This essential duty has zero room for error as it affects flight safety.
  • Prepares up to 14 load plans per shift and sends completed flight packets to the airfield prior to scheduled load time.
  • Completes hazardous cargo notifications for the aircrews and prepares Hazardous Cargo Passenger Deviations and waivers as required.
  • Works with little supervision and is required to act in a supervisory role, tasking the cargo teams with priorities for pallet building.
  • Demonstrates impeccable and professional communication skills working with outside agencies to include the US Air Force, the 109th Air Wing, Fixed Wing Coordinators, on-site NSF Representative, Kenn Borek Air, USAP Cargo, and the Christchurch cargo yard.  
  • Manages all the data entry into MAXIMO in regards to pallet building, mission reports, receipt and delivery of inbound items and retrograde cargo.
  • Takes charge of prioritizing the movement and delivery of all cargo to airstrip and final destination using daily Fight Schedule once published to ensure all cargo is pre-staged for on-time loading.
  • Coordinates aircraft loads including passengers and cargo with Passenger Services and Airfield Supervisor for each flight.
  • Plans inland station missions with Fixed Wing Coordinator on a daily basis.
  • Interfaces with fixed wing agencies to maximize Allowable Cabin Load (ACL).
  • Provides twice weekly, information of cargo staged by destination for reporting.
  • Collaborates with USAP Cargo staff, Fixed Wing Coordinator, USAF Joint Inspector and 109th AW Operations to overcome any transportation, cargo or hazardous material problems.  
  • Works rotating shifts including weekends and extra hours as required.  
  • Works 12 hour shifts, non-stop during resupply vessel operations.
  • Will occasionally perform strenuous physical work.
  • Will occasionally need to lift and push 75lbs.
  • Will occasionally need to lift and push 50lbs.
  • Will constantly move 20 lb. objects.
  • Will occasionally climb vertical ladders into and out of equipment.
  • Will occasionally climb vertical ladders and platforms to access cargo.
  • Maintains a safe workplace and ensuring that safety is the highest priority in the workplace.
  • Performs other duties as required.


  • High school graduate or equivalent is required.
  • Valid Driver's license required. Class “A” is preferred.
  • Knowledge of aircraft load planning and regulations governing transportation of hazardous materials is required, military aircraft knowledge is desired.
  • Knowledge is mandatory of passengers and cargo movement functions to include transport aircraft types, capabilities, and configurations; weight and balance factors; airlift transportation directives and documentation; cargo securing techniques; border clearance requirements; operation of material handling and other types of loading equipment or devices, fleet service functions; automated data processing equipment and its application in airlift activities; passenger service functions, and customer relations   principles; interpreting, creating and following aircraft load plans.
  • A minimum of three (3) years’ experience in administrative support is required.  
  • One (1) year experience in air cargo operations is also required.
  • Familiarity with MS Office computer programs (MS Excel, MS Word, Outlook email systems) is required.  
  • Experience with MAXIMO is preferred.
  • ICODES experience preferred.
  • Successful receipt of the AMC Airlift Load Planners Certification is required prior to commencing work in Antarctica. Must be willing and able to lift and move items, parts, assemblies and equipment up to the safety regulation maximum. Willingness and ability to deploy to Antarctica for extended periods is required.
  • Must be willing and able to perform physical activities including heavy lifting, climbing in and out of equipment, crawling, and working outdoors.
  • Must successfully complete the physical, dental and psychological (if applicable) examinations as required by the NSF for deploying to Antarctica.
  • Must participate in community programs, such as “house-mouse” (chores), “daisy-picking” (cleaning-up around the station), recycling efforts and safety objectives.
  • US citizenship or US Permanent Resident Status is required.
