Operations Specialist


The Operations Specialist serves on the program management team as a dedicated member to a specific program(s) within the Expeditionary Support and Stabilization (ESS) business area of PAE. This role will be tasked with the day-to-day coordination of travel and logistical services in support of various training provided to Partner Nations around the world.


  • Manage multiple, simultaneous trainings ensuring travel and in-country logistical services are provided according to schedule.  This may include but is not limited to coordination of participant flights, visa support, lodging, interpreter/equipment, venue, catering, transportation, and expeditors.
  • Review statements of work to identify travel and logistical requirements for each training and coordinate directly with USG counterparts to further define requirements as needed.
  • Create Purchase Requisitions, track Purchase Requisition approvals, track purchase orders and funding, receive and approve vendor invoices, monitor quality, monitor schedule, budget and quantity ensuring the efficient processing of goods and services from start to finish.
  • Collaborate with the travel support team ensuring student flights are accurate, on time and within policy.
  • Responsible for reserving lodging for instructors and participants.
  • Draft a logistics summary document for each training detailing all the services being provided.
  • Monitor and identify potential problems with technical/cost/schedule issues or delays and implement mitigation actions or corrective actions.
  • Develop full knowledge and an understanding of the prime contract Statement of Work in order to prepare, track and submit customer and corporate deliverables and program milestones.  
  • Respond to operational inquiries and liaise with the program management staff for program decision making. 
  • Coordinate directly with in-country vendor points of contact.
  • Establish and maintain automated and manual records using Cost Point, OnBase, SharePoint and Microsoft Excel.
  • May be required to travel to perform field inspections on subcontractor logistical services being provided.
  • Other duties as assigned.


  • Attention to detail and ability to independently handle multiple tasks with competing priorities in a fast paced environment.
  • Bachelor’s Degree preferred.
  • Minimum 3 years combined practical experience in travel, purchasing, logistics, or subcontract management and administration.
  • Experience working on a government contracting program preferred.
  • Familiarity with procurement process preferred.
  • Proficiency in Microsoft Excel, Word, and PowerPoint is required.
  • Experience in effectively dealing with international staff and sensitivity to other cultures. 
  • Ability & willingness to travel to austere/hazardous locations as necessary.
  • This position is located in the PAE Arlington Virginia office.
  • This position is required to work a core business hour schedule and will be required to work weekends and after hours as needed.
